At Race Challenges, we strive to provide the best possible experience for our participants and organizers. This Refund Policy outlines the terms and conditions regarding refunds, cancellations, and transfers for physical and virtual event registrations and gift purchases on our platform.
1. General Registration Policy
All registration payments and gift code purchases are final and non-refundable once completed.
Refunds are not provided for change of mind, personal scheduling conflicts, failure to train, travel disruptions, deciding not to participate, selecting the wrong event category, registration errors, duplicate registrations made by the user, incorrect participant details, or registrations completed by another person on behalf of the participant.
Refunds are only considered where there is a verified technical platform issue with the Race Challenges registration or payment system.
2. Physical Event Postponements, Weather, and Force Majeure
In the endurance sports industry, physical race events are subject to unpredictable road, environmental, and safety factors.
- Weather Disruptions: If a physical race is postponed, delayed, rerouted, or converted to a virtual race due to extreme tropical heat, heavy rainfall, flooding, tropical storms, lightning, or other weather hazards, registrations will automatically transfer to the rescheduled date or virtual alternative. Registration fees remain non-refundable.
- Municipal Directives & Road Safety: If an event date or route must be adjusted due to police, government, municipal directives, or safety hazards, entries will transfer to the updated schedule.
- Third-Party Organizer Events: Independent event organizers who host challenges on the platform determine and execute their event schedules. Race Challenges is not liable for organizer schedule adjustments or cancellations.
3. Refund Eligibility Criteria
Refunds are strictly evaluated where there is a verified technical glitch with our platform:
- Platform Billing Glitch: If you were charged multiple times for a single registration due to a payment gateway processing error.
- Verified Duplicate Bank Transfer: If duplicate direct bank transfer payments were deposited and verified into Race Challenges' business account for a single registration.
- Unfulfilled Registration: If your card was charged or bank transfer was verified, but the platform malfunctioned and failed to generate your event registration or ticket.
- Permanent Platform Cancellation: If an event created directly by Race Challenges is permanently cancelled without a rescheduled date or virtual alternative.
4. Participant Responsibility
Participants are responsible for carefully reviewing the event name, location, event format (Physical vs. Virtual), distance category, participant information, waiver terms, and payment total before submitting payment.
If a registration is completed by another person on behalf of the participant, the participant remains responsible for ensuring that the correct event and details are selected before payment is submitted.
Where an error is reported after payment, Race Challenges support may assist with detail corrections where feasible, but this does not grant a right to a monetary refund.
5. Processing Timeline
If an exceptional refund request is approved by Race Challenges:
- The refund will be issued less non-refundable third-party payment processing or banking fees incurred at the time of purchase.
- The refund will be processed back to the original method of payment (we cannot issue refunds to a different card or third-party bank account).
- Funds typically appear on your statement within 5–10 business days, depending on your card issuer or banking institution.
- You will receive an automated email confirmation once the refund has been initiated.
